Learning Bees is a Welsh-medium tutoring business based in Cardiff. It's a trading name of Craig Bee, who operates as a sole trader - so Craig Bee is the data controller for the personal data described in this policy. This policy explains what personal data we collect when you use our website or buy from us, and how we look after it.

We do not use cookies, analytics, or tracking pixels on our website. The only automatic data exchange is that our web fonts are loaded from Google's servers and some of our photos are loaded from Unsplash's and Pexels' servers, which means Google, Unsplash and Pexels receive your device's IP address when a page loads - see Section 8 for more on this.

The Welsh level test does not collect any personal details. Your answers are not sent to us - only the level result is saved, in your own browser, so the sign-up form can pre-select your level. If you choose to ask for your result by email, we collect your email address, your result and your consent to email you.

Our legal basis for this is that it's necessary to fulfil a contract with you (Contract), and in some cases our legitimate interest in running the business (Legitimate Interests). We do not use your data for marketing unless you've clearly opted in, and you can withdraw that at any time. We only use waiting list and free-resource details for the purpose you gave them for (telling you about lessons, or giving you access to the free resources). Where you tick a consent box, our legal basis is your consent.

5. Children's data

Our tutoring is for children, but the account holder is always the parent or guardian, who provides the consent and the child's details. We only hold the minimum information needed to teach your child (their name and year group) and never contact a child directly outside of agreed lessons.

• The forms on this website are for parents or guardians to fill in. A child can take the level test, but it doesn't ask for any personal details. The optional "email me my result" box is for a parent or guardian to complete.

6. Sharing your data with third parties

• GoCardless — to process your payments (subscriptions and workbook orders), including Direct Debit. GoCardless collects and stores your payment details directly; we never see or hold your full card or bank details.

• Our virtual classroom provider — your child's virtual classroom is hosted on a third-party platform (for example, Microsoft Teams), so their name and any work they submit is processed by that provider as part of the service. Craig sets up and manages the classroom, and the qualified teachers who teach your child are in it too with teacher access; your child can access their own virtual classroom using the login you set up for them. When tutoring ends, Craig removes your child from the classroom and deletes their work (see Section 5). The provider's own retention and deletion practices then apply to anything already processed on their systems.

Some of these providers may process data on servers outside the UK, including in the United States. Where this happens, they rely on legal safeguards - such as the UK's International Data Transfer Agreement or the EU-US Data Privacy Framework - to protect your data to UK standards. You can check Google's, GoCardless's, Netlify's and our virtual classroom provider's own privacy policies for the specifics of how each of them handles this.

We do not sell or share your data with anyone else, and we do not use it for advertising.

7. How we store your data and how long we keep it

Your data is stored in our email account (Gmail), in our Netlify form records and, where applicable, in our virtual classroom. How long we keep it depends on what it is:

8. Cookies and browser storage

Our website itself does not set any cookies, and we don't use analytics or advertising trackers of any kind.

The site does load its typefaces (fonts) directly from Google Fonts. This isn't a cookie, but it does mean your device connects directly to Google's servers to fetch the fonts, so Google receives your IP address and browser details as part of that request, in the same way it would for any website that links to an external image or file. Google's own privacy policy explains how they handle this.

Some of the photos on our site are loaded directly from Unsplash's and Pexels' servers, so they also receive your IP address and browser details when those pictures load. Their own privacy policies explain how they handle this.

Our site also saves a few small settings in your own browser's storage. These are not cookies and are never sent to us: your language choice (English or Welsh), whether you've already seen our sign-up pop-up, whether you've already filled in the free resources form (so you don't have to do it again), and your latest level test result. They stay on your device and you can clear them at any time in your browser settings. The exception is Gwen: if you use her, your access code and a random device ID are saved in your browser, and they are sent to Gwen's server when you chat, so that your code can be checked (see Section 12).

If you're unhappy with how we've handled your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator.

12. Access codes, the digital workbooks and Gwen, our AI study buddy

• Each family has one access code. It opens our digital workbooks and Gwen, our AI study buddy. The digital workbook pages are kept on Cloudflare and are sent to your browser only when you enter a valid code. When you press Submit or Try again in a workbook, your answers for that workbook are saved by Cloudflare, linked to your code, so you can carry on from any of your devices. We do not read them or use them for anything else, and they are deleted when your code expires or your child stops tutoring with us (see Section 5). Gwen gives hints to help with workbook questions. Gwen is an AI helper, not a person or a teacher.

• What we collect: the access code you type, a random device ID created in your browser (so a code can work on up to 3 devices), your internet (IP) address, a count of how many messages a code has used each day (to apply the daily limit) and, if you choose your own code, the code you chose, linked to your original code. Your IP address is used only to stop people guessing codes: it is held for about 15 minutes and then deleted automatically. Daily counts are deleted automatically after a couple of days. Device records and chosen codes are kept while your code is valid, and are deleted when it expires or when your child stops tutoring with us (see Section 5).

• Your messages: what you type to Gwen, together with the workbook you chose, is sent to Cloudflare, which runs the small program that checks your code, and to Anthropic, the company that provides the AI that writes Gwen's replies. We do not keep a record of conversations ourselves and we do not use them for marketing. The only exception is safeguarding: if a message suggests a child may be at risk (for example, a child telling Gwen they are being hurt or are in danger), that message and the access code it came from are emailed to Craig so that we can follow up with the parent or guardian. We keep these only for as long as needed for safeguarding.

• Cloudflare and Anthropic are based in the United States and may process data there. Their own privacy policies explain how they handle it.

• Welsh checks: when you ask Gwen to check your Welsh, or about a Welsh word or term, the words you typed are sent to free services run by Bangor University's Language Technologies Unit (Cysill, for spelling and grammar, and Y Termiadur Addysg) and to Geiriadur Prifysgol Cymru (the Welsh dictionary, University of Wales Trinity Saint David). They are used only to give an answer, and we do not send your name or access code to them.
• Gwirio Cymraeg: pan fyddwch yn gofyn i Gwen wirio eich Cymraeg, neu'n gofyn am air neu derm Cymraeg, caiff y geiriau rydych wedi'u teipio eu hanfon at wasanaethau rhad ac am ddim a ddarperir gan Uned Technolegau Iaith Prifysgol Bangor (Cysill, ar gyfer sillafu a gramadeg, a Thermiadur Addysg) ac at Eiriadur Prifysgol Cymru. • Please do not type personal details to Gwen, such as a full name, school, address, phone number or photos. Gwen's replies can sometimes be wrong, so check with a teacher if you are unsure.

• Access codes are for children with a parent's or guardian's knowledge, and the code is given to the parent or guardian. Please keep your code private. Your code and the random device ID are saved in your own browser so you do not have to type them again. The chat itself is not saved once you close the page.
